How Policepen works
From the end of the call to the last receipt.
1. The officer records the account
On the iPhone app, the officer records in the car. Recording works with no signal; the phone keeps the audio encrypted and uploads it when signal returns, picking up where it stopped if the app is closed. The officer can also type, or dictate in the browser.
2. Policepen proposes facts; the officer confirms them
The recording is transcribed, and each time, person, vehicle, place, statement and action becomes a fact linked to the second of audio it came from. Nothing is a fact until the officer confirms it. Observed, inferred and stated facts are labeled differently.
3. Reportable events are asked, not guessed
Policepen asks a yes-or-no question for each reportable event the facts point to. A yes opens the filing with its rule, deadline basis and owner. A no is recorded with who answered.
4. The narrative is drafted from confirmed facts only
Every sentence links to the facts behind it. A sentence with no fact behind it is flagged. If a fact changes later, the narrative, the NIBRS values and any signature that depended on it are marked for review.
5. The sergeant reviews and signs
The sergeant reads the report beside its facts, sources and open checks, comments on the exact line, and returns or approves. Approval is signed with a password and bound to that version. An officer who was on scene cannot approve the case.
6. Every filing is tracked to a receipt
Each filing shows its form, rule and clock. The officer or records unit submits it, enters the confirmation number, and the filing closes. Rejections reopen as corrections with the original kept.
7. The report goes into your RMS and is checked
The browser extension fills the RMS screen one reviewed field at a time. After the record is saved, Policepen reads it back and flags any field that differs. If your RMS cannot be filled this way, records staff use a manual import bundle and enter the RMS case number.
8. The prosecutor gets a complete packet
Packets go to the County Prosecutor's Office with a checklist of what is included and what is missing and why. Supplements arrive as new packet versions with the changes listed. The office acknowledges receipt in Policepen.
Demo
Walk one call through Policepen
The demo runs a synthetic pursuit with a firearm pointed: the facts the officer confirms, the filings it opens and their clocks, a CAD and recording time conflict, the RMS check and the chief's board. A second case shows the body-worn camera restriction.
Runs on synthetic cases in your browser. No sign-up.
